Charts that move, and figures that stick.

Nobody reads a table full of figures on a slide. Everyone remembers a chart that draws itself while you talk, with the number that matters large on screen. This is how to make figures that work.

One chart, one message

Every chart on a slide should carry one sentence: "revenue doubled", "the south is catching up", "costs finally went down". Put that sentence above the chart as its heading, not "Revenue 2022 to 2026".

Leave out the rest. A grid, five colours and two labelled axes do not make a chart clearer. One colour for what matters, the rest calm.

Let the motion tell the trend

  • A line that draws itself from left to right is time passing.
  • Bars that grow one after another show the order: from small to large, or from last year to now.
  • A number that counts up to its final value lets people feel how big it is.
  • A race, where bars grow per year and swap places, shows who overtakes whom. No still chart does that as well.

One step per click: first the empty chart, then the line, then the number that matters. That way you tell the story, and the room does not read ahead.

Do not retype your figures

Retyping figures from Excel is where mistakes creep in. Paste them. And if they come from a Google Sheet that changes every week, link it, so your presentation shows the latest figures.

How it works in Presentor

Copy cells from Excel, Numbers or Google Sheets and paste them in the editor: you get a table or a chart, or the chart already on the slide is filled. Paste the link to a Google Sheet and Refresh fetches the latest figures.

Chart slides draw themselves: bars, lines, donuts and key figures that count up. Drag a bar to another value and the chart plays again. The Race slide type grows bars per period and swaps their places, with the year large on screen. Charts, key figures and Race are part of Pro; tables and pasting are in Free.

With Team a table or chart fetches the latest figures from your Google Sheet every minute while you present, also for people watching through a link.

How to do it in Presentor

  1. Copy your cells

In Excel or Sheets, select the rows with a header row and copy them.

  2. Paste in the editor

On a chart slide the values are filled in, otherwise a new table slide is added.

  3. Write the heading

One sentence with the message of the chart, not the title of the table.

  4. Watch with Live

You see straight away how the chart builds up per click.
